GENERAL DETAILS FOR PUBLICISTS
ABOUT SENDING AUTHORS TO PNBA’S FALL SHOW,
The information on this page is meant specifically for those of you who will be sending authors to participate as featured authors at the PNBA’s 2023 Tradeshow September 19, 20, and 21 at the Holiday Inn on the Columbia River in Portland, OR. These details will be crucial for you to assure that your author knows where to be, at what time, with what information, in order to have a successful promotion at PNBA's fall show. We expect that you will forward the link to THIS PAGE to your author. SOME OF THE LINKS ON THAT SHOW PAGE WILL CHANGE, AS THE FINAL VERSIONS ARE POSTED, so please remember to tell your author that and suggest that s/he check the show page about a week before the show, to make sure that s/he has the final version. IT IS YOUR RESPONSIBILITY TO PROVIDE THESE MATERIALS TO THE AUTHOR, because in most cases PNBA does not have direct access to authors. Listed below are the documents that you will need.
Click HERE to make a hotel reservation for the show. Using this online reservation system will assure you of our special rate, $144/night plus tax, with free parking.
Our invitation for authors to participate in specific events will include a form that asks for some information from the author—including the name of a guest they would like to bring along. We will automatically supply your author and their guest with badges good for the entire show. Badges and tickets may be picked up at the PNBA registration desk in the hotel.
If your author will be bringing a guest with him/her, we will supply that guest with a free badge so that they may attend the show. Everyone with a show badge, including our featured authors and their guests, is invited to attend any of the other show events that they would like, on all three days of the show. The show badge allows entry to every event, except the ones that require separate meal tickets. If your author and/or guest would like to attend any of the ticketed events at the show, please ask them to fill out an Attendee Registration Form
You agreed to provide copies of your author’s new book (or ARC) for distribution to attendees. If you will be shipping the books to PNBA's warehouse for delivery to the show, please see the shipping instructions and labels HERE. You are not required to use our drayage service--it is provided as a service for those who wish to use it. If your representative or author will be bringing the books, please notify PNBA in advance (to <[email protected]>) and have them bring the books to PNBA's registration desk as soon as the person with the books arrives at the hotel. You will be invoiced after the show at $45.00/box for drayage fees for each box sent to our warehouse. Books may NOT be shipped directly to the hotel, unless they are sent to a specific representative of your company who is a registered guest at the hotel at the time that the shipment will arrive. Otherwise, shipments to the hotel will be rejected.
Finally, if your author has a web site, and if that web site provides a link to Amazon, Barnes & Noble, and/or the publisher's site encouraging potential customers to buy their books, we respectfully request that you ask your author also to provide a link to Bookshop or (preferably) a link to the author's favorite home town bookstore, so that the independent stores will receive at least as much promotion by the author as do the corporate stores. Your author's providing such a link will go a long way toward confirming your author's status as a "friend" of independent booksellers. We will be promoting many of the show authors on PNBA's public web site, Northwest Booklovers, but we will NOT provide a link to an author's web site, if that site does not provide at least as prominent a link either to Bookshop.org or to a local independent bookstore's site as it does to Amazon, the publisher's site, and/or to any other corporate sites.
Thank you tremendously for your support of PNBA. We will do our best to make sure that your author's promotion is a successful one. We want all of our guest authors to leave our shows wishing they could stay for more and hoping that they will be invited again.
